IVCO CONFERENCE WEBSITE TERMS & CONDITIONS AND DATA PROTECTION PROVISIONS 

Welcome to the IVCO conference website. To ensure a smooth and enjoyable experience, we kindly ask that you review and agree to our Terms and Conditions. 1. Conference Organisers 

  1. “IVCO” stands for the International Volunteer Cooperation Organisations.
  2. IVCO is the annual conference of Forum (The International Forum for Volunteering in Development), a non-profit organisation incorporated in Canada under Corporations Canada, under the care of Comhlámh based in Ireland.
  3. Forum is the most significant global network of organisations that work with volunteers to achieve sustainable development goals. It exists to share information, develop good practice and enhance cooperation across the volunteering for development sector.
  4. Northumbria University is a research-intensive, modern university based in Newcastle upon Tyne in the Northeast of England. Its Centre for Global Development is an established research group delivering innovative collaborative work on volunteering, humanitarian crises and development.
  5. Comhlámh is the Irish Association of International Development Workers and Volunteers. As a membership organisation, they build and mobilise community around global justice issues. Comhlámh nurtures and supports work for change, locally and globally, and advocates for a world beyond injustice.

2. Conference Registration 

  1. Conference registration fees are non-refundable including in the event of cancellation by the registered party. However, the ticket may be transferred to another delegate, by contacting the conference organisers.
  2. In the event that the conference is cancelled, a full refund will be issued to all registered attendees within 14 business days, upon the notification of cancellation.
  3. Registration fees do not include travel, accommodation, or any other expenses incurred by attendees.
  4. All conference attendees must register and pay the total registration fee in full before attending the conference.
  5. Your record of registration and payment will be sent to you via email automatically upon completion of your registration. As soon as Forum has received full payment of the registration fee, you will receive a confirmation email.
  6. The subsidised delegate ticket rate is available to delegates registering from an organisation headquartered in the Global South, local organisations based in the Northeast of England or low income organisations (income is less than €100k per year). Students (from any location) and youth delegates (under 30) may also register for the subsided delegate rate.
  7. By selecting a subsidised ticket, you certify that you meet the criteria and the information provided is true and accurate. Forum reserves the right to request proof of eligibility.

3. Conference Content  

  1. All conference content, including presentations, speeches, and other materials, are the intellectual property of the conference organisers and / or the speakers.
  2. Any unauthorised use, reproduction, or distribution of conference content is strictly prohibited.
  3. The conference organisers reserve the right to change the conference content at any time without prior notice.
  4. The conference and all discussions will be conducted in English to accommodate the interactive nature of our schedule.

4. Code of Conduct 

  1. All conference attendees are expected to conduct themselves professionally and respectfully.
  2. Any form of harassment, discrimination, or other inappropriate behaviour will not be tolerated and may result in expulsion from the conference without a refund.
  3. Attendees must comply with all local laws and regulations while attending the conference.

5. Liability 

  1. The conference organisers will not be held liable for any loss or damage, including but not limited to personal injury, loss of property, or financial loss, incurred by conference attendees. 
  2. Attendees are responsible for their own travel, accommodation, and any other expenses incurred while attending the conference.

6. Privacy Policy 

  1. The conference organisers will collect and use personal information provided by conference attendees in accordance with the General Data Protection Regulation (GDPR) of the European Union / The UK Data Protection Act 2018.
  2. By registering for the conference, attendees consent to the collection and use of their personal information by the conference organisers in accordance with GDPR, unless specifically and clearly stated otherwise.
  3. The personal information collected by the conference organisers will include name, email address, phone number, and other information necessary for registration and attendance at the conference.
  4. Unless requested otherwise, the conference organisers will only use the personal information collected for the purposes of organising and administering the conference, communicating with attendees, and other purposes necessary for the operation of the conference.
  5. The conference organisers will not share personal information to third parties unless required by law, or necessary for the operation of the conference. We will never sell your personal information.
  6. Attendees have the right to access, rectify, or erase their personal information at any time by contacting the conference organisers and subject to the conference organisers’ internal processes and procedures.
  7. The conference organisers shall not be held responsible for any unauthorised access, loss, or theft in relation to the personal information. However, the conference organisers will take reasonable technical and organisational measures to protect the said personal information from any kind of illegal, unlawful and/or unauthorised access, loss, or theft.
  8. Personal information collected by the conference organisers will be retained for as long as necessary for the purposes for which it was collected or as required by law.
  9. Photos and video footage will be taken during the event and may be used on social media, in the conference report and on the IVCO Website. If you do not wish your photo to be used, please let us know by emailing ivco@forum-ids.org.
  10. Speakers and think piece authors will be requested to submit a photograph and a biography, which will be used on the IVCO Website and in social media.  If you do not wish your photo to be used, please let us know by emailing ivco@forum-ids.org.
  11. Attendees have the right to file a complaint with the appropriate data protection authority, if they believe their personal information has been processed contrary to GDPR. Please contact us directly via email at ivco@forum-ids.org with any concerns around management of your personal data.

7. Governing Law 

  1. These terms and conditions shall be governed by and construed in accordance with the laws of the host country, the United Kingdom. 
  2. Any disputes arising from these terms and conditions shall be subject to the exclusive jurisdiction of the courts of the host country, the United Kingdom.

8. Disclaimer 

  1. The material and information contained on this website is purely for the purposes of arranging and organising the IVCO conference. You should not rely upon the material and/or information on the website as a basis for making any business, legal or other decisions.  
  2. Whilst we endeavour to ensure the security of your personal data and accuracy of the information, in no event will the conference organisers be held liable for any loss or damage including without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the use this website.  
  3. The conference organisers reserve the right to modify or revise these terms and conditions at any time without prior notice. By continuing to use the website after such modifications, you agree to be bound by the updated terms and conditions.
